Description
We are now looking for a registrar for the primary school administration!
As a registrar with us, you will belong to the office and security unit responsible for the administration's case, information, and document management, as well as providing support to the board and management.
The unit works for a legally secure and efficient case process and is responsible for record-keeping, archive and information management, as well as support in matters concerning security, data protection, and information security.
Job Responsibilities
In your work, you will ensure a legally secure and efficient handling of public documents according to applicable legislation and the administration's routines. The assignment includes registrar duties such as:
- Record-keeping
- Quality controls of recorded documents
- Handling the administration's mail and official e-mail inbox
- Processing and confidentiality assessment of requests for public documents from citizens and media
As a registrar, you provide support and expertise to the administration's employees and managers on issues related to record-keeping and the administration's case management system Ciceron DoÄ. It is also part of your role to conduct training for the administration's staff on the case management system, record-keeping, and the release of public documents.
You contribute to developing the administration's routines and working methods within case management. You enjoy streamlining through digitization to create a more modern administration and better service for our citizens.
The position is located in the Office and Security unit. The unit's mission includes overall registration, archives, security, and preparedness, as well as investigation and decision support. Currently, about 35 people work in the unit, and the registration team consists of five people. The position is located at Gamlestads Torg 5, where we work in activity-based and new premises.
Qualifications
We are looking for someone with a university degree in public administration, political science, or equivalent. You should have at least one year of experience in registration and document management within the public sector. We also expect you to have good knowledge of public access and confidentiality legislation within municipal operations. You should also have experience working with requests for public documents.
Our case management is digitized and integrated into a case management system. Therefore, you should be an experienced user of various IT tools and can easily familiarize yourself with new systems. We are looking for someone with excellent knowledge of the Swedish language and good communication skills in both spoken and written form.
For the role, it is advantageous if you have experience working in the case management system Ciceron and experience in conducting training. It is also advantageous if you have worked with complex requests for public documents requiring confidentiality assessments.
As a person, you are meticulous, which means you care about your work being done correctly. You have the ability to focus on details and follow up on your work to ensure it meets high quality standards. You have an interest, willingness, and ability to help others, and within the scope of your assignment, you can make independent decisions while also having good collaboration skills. You use your time effectively and work systematically, organized, and methodically. You enjoy working with digitization and efficiency improvements.
